Guidelines for Papers and Poster Presentations

Guide for Paper Presentations:

1) You should introduce yourself to the Chairperson during the break preceding your session and listen carefully to the information given. The Chairperson will communicate all the last minute changes in the programme and may provide other important information.

2) Individual oral presentations should be 15 minutes in duration, followed by 5 minutes for questions and discussion. The Chairperson will confirm the time allocated to your presentation before the session as there may be small variations between the various sessions. Please keep to the time allocated for your presentation! Discussion panels and other collectively suggested sessions should keep to the time limit of two hours.

3) There will be a PC available in each presentation room, connected to a Data Projector. You should copy your PowerPoint presentation file to the PC beforehand to avoid any loss of time during the session. Therefore, you should contact the technical assistant of your presentation room at the latest during the break that precedes your session and provide your file to him/her.

4) The title of your presentation file should include the following: Session number and your name. For example, the presentation label of Ms Jones in Session 1 would be: Session_1_Jones. You can find your session numbers in the final conference programme that will be posted on the website a few days before the conference.

5) The file can be brought on the following formats: CD, floppy disc or on USB Keys. All files should be Microsoft compatible. Laptops can be brought as a last resort, however you should check with the technical assistant that it will be working with the media projector before your session. If presentations contain video and/or audio files please remember to check also these with the technical assistant to ensure that there will be no delays due to technical problems during your presentation.

6) You can also use the overhead projector or other ”traditional” presentation tools. Please inform the technical assistants upon your arrival to ensure that your presentation room will have all the necessary equipment.

Guide for Poster Presentation:

Posters will be on display in the poster gallery for the duration of the conference, but they will not be presented orally. At the conference venue you will find a list with your name and the number of the panel that is reserved for your poster.
